Privacy Policy

We explain what data we collect and how we use it.

VIP AirShots makes aerial footage with drones. In doing so we process personal data: of people who request a quote, of clients, and sometimes of people who appear in the footage. This privacy statement explains which data that is, why we use it, with whom we share it, how long we keep it and what your rights are.

Who we are

VIP AirShots (sole proprietorship), Marcellusstraat 2, 6444 VD Brunssum, the Netherlands, Chamber of Commerce no. 96509635. We are responsible for processing your data. Privacy questions: info@vip-airshots.nl.

What data and why

  • Quote requests and contact – name, e‑mail address and what you fill in yourself (phone, company, type of job, preferred date, hours, location, how you found us and your message). To answer your request and prepare a quote. Legal basis: preparing a contract.
  • Quote, job and invoicing – your (company) details, address, Chamber of Commerce and VAT numbers, the agreements about the job, your acceptance (name, date and time) and the order confirmation. Also short notes of our contact (for example a phone call), so we know what we agreed with you. To carry out the job, to remind you (for example the day before, when rescheduling because of the weather or for an open invoice) and to invoice it. Legal basis: performing the contract and legal obligation (tax law).
  • Questionnaire for the shooting day – times, address and optionally a pin on the map, parking, contact person on the day, the shots or moments you would like, particulars, files you send us yourself (for example a site plan or schedule) and whether we may show the footage in our portfolio. Data needed for the shooting day (times, address, contact person, wishes) is shared where necessary with the observer or second pilot who comes with us. Legal basis: performing the contract.
  • Client account (optional) – e‑mail address as user name and a password, which we only store encrypted (hashed). Plus login details (date, time, type of device) to prevent misuse. Legal basis: performing the contract and our legitimate interest (security).
  • Footage – the photos and videos we make. People may be recognisable in them. We deliver them via your personal link (for recurring jobs possibly as a before/after comparison with earlier footage) and, if you allow it, use them for our portfolio, also as a short clip for social media (see below). Legal basis: performing the contract; for the portfolio our legitimate interest, unless you object.
  • Reactions to footage and live viewing – your reaction per video (approved or please change, with a comment), when you first watched the footage (so that we only ask for a review after that) and, when you watch live, temporarily the IP address you watch from. Legal basis: performing the contract.
  • IP address – with a request, an acceptance and when logging in we store the IP address to recognise spam and misuse, and we look up which country it belongs to. Legal basis: our legitimate interest (security).

Portfolio and people in the footage

We like to show (part of) our work on our website and social media. In the questionnaire you choose whether that is allowed: yes, only without recognisable people, or no. You can always change that choice or object later; we will then remove the footage. Did you appear in our footage and do not want that? Let us know at info@vip-airshots.nl. The client is responsible for its own use of delivered footage in which people are recognisable.

With whom we share data

We never sell your data. We only share what is necessary with:

  • e‑Boekhouden.nl – our accounting (client details, invoices). Processor.
  • Mijndomein – our e‑mail (confirmations, quotes, invoices). Processor.
  • OpenStreetMap (Nominatim and OSRM) – to find an address on the map and calculate travel distance. Only the address, without name or other details.
  • Open‑Meteo – for the weather forecast at the shooting location. Only the coordinates.
  • ipwho.is – to determine the country of an IP address (spam and misuse detection). Only the IP address.
  • Esri and OpenStreetMap – the map in the questionnaire is loaded directly by your browser from these services.
  • Google Analytics – only on this website and only if you consent in the cookie banner. Google Analytics does not store IP addresses.
  • WhatsApp (Meta) – only if you contact us via WhatsApp, or if we send a link (quote, questionnaire, footage) to your phone number via WhatsApp.
  • Observer or second pilot – only the data needed for the shooting day (see above).
  • Municipality or landowner – if permission is needed to fly at the location: the location, date and times, without your personal data unless really necessary.

All our own systems (dashboard, storage of footage and data) run on our own server in the Netherlands, accessible via a secure connection (https).

How long we keep data

  • A request that does not lead to a job: at most 12 months.
  • IP addresses: 30 days, after which they are deleted automatically.
  • Data of jobs, quotes and invoices: 7 years, as required by Dutch tax law.
  • Footage: up to 3 months after delivery (see our general terms). If you chose that the footage may not be used in our portfolio, we delete it automatically after those 3 months. If it may, we keep the footage used for as long as it is in the portfolio.
  • Files you send in the questionnaire and notes of our contact: with the job; we delete them earlier at your request.
  • Client account: until you ask us to delete it.

Security

We protect your data with, among other things, an encrypted connection (https), passwords that are only stored encrypted (hashed), two-step verification when logging in to our management system, personal links that cannot be guessed and that expire, a watermark on the footage until payment, and storage on our own server in the Netherlands. If something does go wrong with your data (a data breach), we report it to the Dutch Data Protection Authority within 72 hours where required and inform you.

Cookies

This website uses analytical cookies (Google Analytics) only after your consent via the cookie banner. The request form does not use cookies. In the client portal we only use a necessary cookie to keep you logged in.

Your rights

You may access your data, have it corrected or deleted, object to its use (for example for the portfolio), and request your data in a common file format. Send an e‑mail to info@vip-airshots.nl; we respond within one month. Data we are legally required to keep (such as invoices) cannot be deleted earlier. If you disagree with how we handle your data, you can file a complaint with the Dutch Data Protection Authority (Autoriteit Persoonsgegevens).

Automated decisions

Requests clearly sent by a computer program (spam) are set aside automatically. We review them ourselves and immediately restore a genuine request. No other decisions about you are taken fully automatically.
